The Field Coordinator will manage the local team, interface with and represent HIAS with key stakeholders in the regions including government, the UN and other NGOs. The Field Coordinator will also ensure adherence to logistics, administration and security procedures at the field offices. The Field Coordinator will also serve as the focal point during program planning, proposal development and reporting.

ESSENTIAL FUNCTIONS:
• Directs and monitors the implementation of the strategic plan of the programs in the assigned areas of operation.
• Coordinates monitoring and logistics activities for the development of missions or external visits to the assigned areas of operation.
• Verifies and monitors timely registration of case information and programmatic support to ensure its quality and confidentiality Develops and maintains inter-institutional relationships in order to strengthen the management and visibility of HIAS in localities, as well as the development of complementary service channels for the population of interest. Represents HIAS in programmatic advocacy spaces, in cooperation with partner organizations and local government institutions.
• Provides strategies to help support the local office team members in the implementation and execution of the programmatic and administrative functions of the office. for timely and adequate programmatic implementation and budget of the programs. Must also be responsible for analyzing and executing the budget assigned to the local teams for the achievement of objectives and ensuring their correct and timely management.
• Controls the financial management of the localities, ensuring the issuance of the documents they support transactions and verifying compliance with financial and tax procedures (internal and external) within the established deadlines and informs the program management of any need.
• Reports to senior program management the need for human, logistical and administrative resources and coordinates activities of acquisition, maintenance of facilities, equipment and furniture of the offices to ensure its proper functioning and use. Identifies training needs for the team and reports to senior management programs that correspond to the development of the same.
• Analyzes, consolidates and prepares reports on the management of the locality, according to organizational requirements, guaranteeing their veracity, quality and timeliness.
• Verifies and monitors the timely and accurate recording of information in the different management systems of the Organization (financial and programmatic).
• Guarantees the correct registration and custody of individual Refugee files.
• Controls CBI and voucher distribution process with the support of Georgetown Office Administration team and submits the respective monthly report and manages its replenishment.
• Controls the financial management of the field office, including the administration of petty cash and movement of cash to the field bank, guaranteeing the issuance of the documents supporting the transactions and verifying that financial and tax procedures are fulfilled (internal and external) within the time limits established.
• Responsible for keeping the database of contacts and networks of local services for beneficiary referrals, it should be available to staff in the field office.
• Conducts periodic meetings with the work team to plan and monitor the management of the programs.
• Ensures compliance with local safety regulations and; in case of eventualities, it communicates them to establish timely corrective actions.
• Creates and maintains a work environment that promotes teamwork, trust and mutual respect
• Approves requests for leave and leave from staff under its supervision. Conducts performance evaluations of staff under your supervision.
• Supervises the registration and control of inventories of fixed assets of the localities and reports to the area of operations.
• Coordinates with local teams, if necessary, their participation in the implementation of diagnostics Needs of the population of interest Monitors that local teams implement the means of verification in each program area.
• Within the framework of AAP, the position of Field Coordinator is responsible for promoting and practicing responsibility towards the affected population in their daily functions and following the procedures established by HIAS to present any situation that affects the field office by taking into account, accounting for and rendering accounts to the assisted people.
• Perform such other duties as may be required in the execution of the roles of the position.

QUALIFICATIONS & REQUIREMENTS:

• Bachelor’s Degree in Administration, Project Management, International Relations, or other relevant fields
• Relevant experience of at least five years managing social projects and / or programs, preferably aimed at vulnerable populations.
• Two (2) years of experience leading multidisciplinary teams focused on providing humanitarian or development assistance
• Experience working with various stakeholders such as local government and UN agencies
• Knowledge of Spanish (verbal and written) desirable.
• Advanced knowledge of MS Office (Word, PowerPoint and Excel)
• Ability to communicate and build interpersonal relationships.
• Know the vision for the execution of strategies and achievement of objectives
• Guidance for teamwork, showing a sense of collaboration and support.
• Leadership skills to lead teams towards meeting objectives within an environment of openness and respect.
• Ability to multitask.
