Organizational Setting

The Food And Agriculture Organization of the United Nations’ (FAO) Subregional Office for the Pacific (SAP) covers Cook Islands, Federated States of Micronesia, Fiji, Kiribati, Republic of Marshall Islands, Nauru, Niue, Palau, Samoa, Solomon Islands, Tokelau, Tonga, Tuvalu and Vanuatu. FAO SAP is responsible for developing, promoting, overseeing and implementing agreed strategies for addressing subregional agriculture, food, nutrition and rural development priorities. FAO SAP develops and maintains relations with subregion-wide institutions including the Council of Regional Organizations in the Pacific (CROP). The Subregional Office is a subsidiary of FAO’s Regional Office for Asia and the Pacific (RAP) in Bangkok.

Reporting Lines

Under the overall supervision of the FAO Sub-regional Coordinator for the Pacific Islands and under the direct supervision of the FAO SRC; the National Administration Assistant will work on a daily basis with the AFAOR, and in close collaboration with LTOs, project management and consultants.

Technical Focus

  • Maintain inter-departmental linkages with FAO units for donor liaison, Finance, Human Resources, and other units as required;
  • Ensure the accurate recording of all data relevant for operational, financial and results-based monitoring;
  • Provide support for missions by consultants and FAO staff;
  • Be responsible for results achieved within his/her area of work and ensure issues affecting delivery and success are brought to the attention of higher-level authorities through the NPM in a timely manner,

Tasks and responsibilities

  • Retrieve, enter, select and analyze data from a wide variety of sources, including FAO’s corporate systems and data bases; verify accuracy of data documents; make necessary calculations.
  • Maintain imprest accounts; reconcile expenditures, balances, payments, statements and other data;
  • Assist in the preparation of recurring and special reports by preparing and editing data in appropriate format as requested; monitor project, programme and general office accounts.
  • Maintain detailed records of budget estimates, obligations and available balances; record receipts and disbursements (ledgers, cash books, vouchers, etc.); make disbursements from petty cash fund and balance accounts.
  • Prepare routine correspondence of administrative nature; draft correspondence to verify data, answer queries, and obtain additional information on transactions and financial matters, as required.
  • Maintain local inventory records with responsibility for proper recording of assets, their maintenance and safeguard.
  • Maintain a filing system of administrative and financial documents.
  • Maintain liaison with local banks and financial institutions to keep up-to-date with financial and regulatory information (exchange and interest rates, procedures and rules, maintenance of bank accounts, etc.).
  • Support the administration of personnel and equipment.
  • Organize meetings as required
  • Perform other related duties as required.

Minimum Requirements

  • University Degree in Economics, Business Administration, or related fields;
  • Five years of experience in project management/administration of development programmes including the preparation, monitoring and evaluation of development projects and operations procedures;
  • Excellent communication skills and English, and strong computer-, report writing- and presentation skills;
  • Nationality of Fiji or resident in the country with a regular work permit.
