Main duties and responsibilities

  • Compiling the institute’s annual budget by collating the budget submissions of all research programs, departments, units, and other operating entities
  • Supporting research programs, departments, units, and other entities with their budget submissions and providing training as necessary
  • Monitoring budget compliance at routine intervals, compiling interim compliance analysis, and forecasting financial results
  • Maintaining the institute’s budget policy and suggesting improvements as necessary
  • Suggesting updates and improvements to the institute’s budgeting, accounting, forecasting, and reporting systems and processes
  • Compiling standard monthly, quarterly, and annual financial reports for a range of internal and external stakeholders, including the IIASA governing Council, as well as various ad-hoc reports as requested
  • Assisting the Head of Finance and Grants in presenting financial reports to the IIASA Executive Committee, the IIASA governing Council, and other stakeholders
  • Contributing to monthly and annual financial closure processes and providing input to facilitate the compilation of the annual financial statements
  • Liaising with external auditors during financial audits and providing explanations and supporting documentation as required
  • Carrying out financial analysis to support executive decision-making and providing budgetary approval and/or assurances for a range of requests, workflows, and purchase orders
  • Examining financial reports for discrepancies and amending as necessary
  • Creating systems and processes to eliminate errors and ensure the integrity of data
  • In line with the team spirit that prevails at IIASA, the incumbent may occasionally work on other tasks assigned by their superiors, that might not be directly related to this appointment but where the post holder has relevant experience and skills, and/or a shortage of immediate personnel capabilities requires such.

skills and requirements

  • A successfully completed bachelor’s or master’s degree in either finance, accounting, economics, business administration, or a related field, and/or a recognized financial or management accounting qualification
  • Several years of experience in a finance environment, preferably at a not-for-profit organization with various sources of income including research grants, and ideally working as a financial controller or management accountant
  • Sound understanding of International Financial Reporting Standards (IFRS) and Generally Accepted Accounting Principles (GAAP)
  • Meticulous attention to detail, reliability, integrity, and a strong understanding of fiscal responsibility
  • Experience with the preparation of financial reports and the presentation thereof to a wide range of stakeholders
  • Strong analytical, organizational and time management skills, the ability to work to strict deadlines and on multiple tasks simultaneously
  • A service-oriented mindset and the desire to improve the efficiency of processes
  • Team spirit with excellent communication and interpersonal skills
  • The ability to maintain a positive working atmosphere with individuals of different national and cultural backgrounds
  • Fluency in the English language (the working language of the institute); ability to communicate in German advantageous.
