Job Description

  • Optimize the utilization rate of the fleet and organize client deliveries by:
    • Reducing transportation costs.
    • Improving the use of the fleet.
    • Improving customer service, both internal and external
  • Comply with all related HSE policies and activities ;
  • Ensure accurate data is provided for the generation of Key Performance Indicators (KPIs) on a monthly basis ;
  • Provide suggestions to reduce costs in department in a continuous basis ;
  • Comply with customer service culture aligned with TPPRC’s program ;
  • Maintain reseller, drivers and equipment documentation up to date in the corresponding file ;
  • Plan and monitor roundtrips in compliance with Branch standards and PATROM rules together HSEQ team ;
  • Program rounds in available software to schedule the delivery of two product lines (Fuels and Lubricants) ;
  • Support the Dispatcher to ensure Logistics Department invoices are process on a timely manner by following up with corresponding departments to ensure invoices are paid  ;
  • Support the process transportation incidents investigation (incidents, client complaints, loss of products, etc.) by providing necessary documentation to support incident resolution ;
  • Monitor On Board Computer (OBC) for daily tasks purposes ;
  • Process on a timely manner return of product or “detour” to ensure credit and debit process documentation is completed ;
  • Support the reporting process of the respective credit and debit information to Sales Admin, Accounting and other concerned department on a timely manner ;
  • Assist reconciliating deliveries process when loaded from PR White Product Terminals ;
  • Keeping the inventory of loading and unloading spare equipment up to date (hoses, fire extinguishers,…) ;
  • Responsible for collecting from drivers’ unsafe conditions during deliveries, sending corrective action to corresponding departments and following up for proper resolution ;
  • Responsible for solving any delivery problems, delays, emergency calls, invoice printing issues, along with any other issue that may arise during the “on call assignment” ;
  • Ensure drivers and trucks are available for deliveries, while maintaining direct communication with Carriers and Drivers to ensure the daily operation goals are met as programmed ;;
  • Process re-seller order in corresponding software on-time ;
  • Ensure support is provided to drivers to meet deliveries as programmed, while answering frequent incoming calls.

Context and environment

  • High pressure, changing environment, constant external and internal interfaces ;
  • Hours are variable depending on workload, may include evening and weekends. Occasional travel ;
  • This role has a corporate mobile phone assigned, requiring the Dispatcher to be available to answer incoming calls outside typical business hours ;
  • On a daily basis, the organization of rounds must balance requirements and cost optimization ;
  • Local regulation and PATROM requirements shall be respected ;
  • Decision made by Dispatch can have significant consequences in terms of safety, security, client satisfaction and costs ;
  • Extensive coordinate between players:  suppliers, business, depots, drivers, etc.
  • Complex environment: Problems concerning supplies, road traffic, degraded highway, networks, driver behaviour, ect.  These problems make it difficult to ensure adequate HSEQ ; performance, and awareness and client services.

Candidate profile

  • Bachelor’s Degree in Logistics/Operations Management or related major ;
  • Spanish mother tongue, Good command of English, written and spoken ;
  • Displays a basic understanding of logistics, the Supply-Chain ;
  • Knowledge in SAP, preferably ;
  • Knowledge in MS Office ;
  • Proven accuracy on performing assigned tasks, possess high integrity standards with the ability to anticipate and react quickly, in a fast-paced work environment.
