Recruitment of a Programme Support Assistant  (2000031A), Hsipaw

Key accountabilities:

 

Administration:

  • Assist PC for regular payments (such as office rent, utility charges for water and electricity) and periodical payments as and when required
  • Assist PC to make sure all vehicle in the field office are insured.
  • Under supervision of PC, hotel booking, air ticketing and other logistical arrangement in the field office.
  • Assist in proper allocation of workstations, furniture and equipment in office buildings.
  • Managing stationery supplies, office supplies, staff house supplies in assigned office.
  • Assist PC for logistical arrangement such as finding venue, arrangement of refreshment/food, procurement of stationeries etc.., for internal staff capacity trainings and workshops.

Human Resources:

  • Assist PC in field office recruitment process in advertising and contacting for interviews.
  • Keeping daily attendance records and submit compiled monthly report to Program Support Coordinator at Lashio.
  • Make sure leave request letters are properly recorded and are match with daily attendance sheet.
  • Assist Program Support Coordinator to ensure staff’s employment related file such as personal information, contracts and documents are updated and file properly

Logistics:

  • Assist PC to receiving, dispatching and recording of any incoming and outgoing stock movement of regional to field office and then to respective teams.
  • Handling fuel issue for both vehicles, generators and fuel stock In/Out in Log books with assigned guards under close supervision by Program Support Coordinator.
  • Checking the log sheets of the vehicles & generators on daily basis with drivers and guards.
  • Assist PC to ensure the daily check lists of vehicles and generators with the drivers/security guards.
  • Assist the PC with motorbikes/generators repair and maintenance when necessary.
  • To Program Support Officer with his/her daily tasks and to cover his duties in his/her absences.

Finance (In case of Finance focal person absence)

  • Manage and assist for financial task and assigned respectively office in collaboration with PC & Finance Officer.
  • Checked all expenditure with necessary supporting documents depend on requirements.
  • Assist to Finance Officer and PC depend on each expense checking and data entry.
  • Support to Finance Officer and PC for checking vouchers process depend on needed and assigned.

 

Child Safeguarding :

  • Ensure that all beneficiaries of your program are receiving ongoing, age-appropriate verbal or written information in relevant languages about Save the Children’s Child Safeguarding Policy and Code of Conduct.

Others: 

  • Comply with all relevant Save the Children policies and procedures with respect to health and safety, security, equal opportunities and other relevant policies.
  • Performs other relevant duties as assigned by the Supervisor.
  • Support to other relative activities if necessary.
  • To perform other task which is assigned by supervisor.

Person specifications:

  • Bachelor’s Degree
  • At least one year experience in related field
  • Professional working experience, preferably in the development sector, is an advantage
  • Experience in Administration, HR, or Logistics is an advantage
  • Experience with international organizations is an advantage
  • High level of integrity and ability to work as part of a professional team
  • Open and Dynamic
  • Ability to work under high pressure to meet tight deadlines
  • Proven team working ability
  • Willingness to work in field office location
  • Commitment to and understanding of Save the Children’s aims, values and principles
  • Good communications skills, including English language ability

Computer proficiency, especially MS Word and Excel
