Under general supervision of the Administrative Officer, and in support of a large operation, prepares and processes documentation for travel of UNICEF staff members and dependents, consultants and participants to meetings

 

How can you make a difference?

  • Receives and reviews all local and international travel requests from staff members to ensure appropriate authorization, confirms entitlements for duty travel, home leave, and education grant, medical evacuation, repatriation etc. Forwards travel requests with supporting documents to the administrative officer for approval ;
  • Obtains quotations from approved travel agents, airlines for international travels, prepares analysis of the most economical and direct route for approval by administrative officer. Supervises indirectly activities concerned with the travel services contractor. This ensures consistency in rates and fares utilized by the office, and constant monitoring and quality control of service received in comparison with other industry competitors ;
  • Collect air travel data from agencies for the purpose of environmental reporting ;
  • Ensures that only invoices that are supported by travel authorizations are certified for payments and undertakes quarterly reconciliations between the invoices from the Travel services contractor and UNICEF payments ;
  • Briefs staff on travel and general administrative matters. Actively participates in discussions on new or revised procedures, workflows or practices, interprets and assesses the impact of changes, and makes recommendations to the administrative officer for follow-up actions ;
  • Provides oversight for timely approval of TAs by budget owners and certification and closure of TAs by staff within the provided deadlines ;
  • Prepares correspondence, note verbales, special reports, country Management team reports, evaluations and justifications, as required, or specialized tasks that maybe of a confidential nature, especially when it pertains to staff entitlements.

 

To qualify as an advocate for every child you will have :

  • Completion of secondary school supplemented by a training in travel (IATA certification would be preferred) and/or logistics ;
  • Minimum of four years relevant experience in travel-related work, such as an airline or travel agency.  Knowledge of United Nations travel rules and practices, and of standard tools and references of the travel industry is an asset ;
  • Fluency in French and a good knowledge of English are required
