The team’s mission:

Provide administrative and logistical support to ensure a proper and efficient function of the Section and support logistical aspects of all conferences, seminars and events including the Annual Meeting of the Board of Governors.

What you’ll do:
The selected candidate will provide and assist with:

  • Prepare general correspondence related to the Annual Meeting (e-mails, letters, notes, etc.);
  • Prepare pre-registration materials to be sent electronically with letters of invitation;
  • Perform quality control over list of invitees received;
  • Answer telephone and mail inquiries from participants;
  • Process on-line registration;
  • Process electronic photos for IDs;
  • Maintain participant’s files;
  • Pack files and conference materials to be taken to the meeting site;
  • Provide training to the rest of the team’s assistants;
  • Review processes in the system, request changes, improvements and follow up;
  • General office work as required;
  • Event logistic support, communications with clients and coordinate requirements with services providers.

What you’ll need:

  • Citizenship: You are a citizen of one of our 48-member countries. We may offer assistance with relocation and visa applications for you and your eligible dependents;
  • Consanguinity: You have no family members (up to fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB Group;
  • Education: Technical or associate degree on administration or event planning;
  • Experience: Minimum of 2 years of work experience on administration or event planning;
  • Languages: Complete fluency in English and Spanish.

  • Areas of expertise: Microsoft Office, interpersonal relations;
  • Skills: teamwork and willing and able to work long hours, as required.
