Job Description:

The International Rescue Committee’s (IRC) External Relations (ER) department enables the IRC to respond to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Within ER, the USA Philanthropy team leads on the organization’s work with USA-based High-Net-Worth Individuals. We’re seeking a Manager, Planned Giving to join our team.

The Manager, Planned Giving will play a key role within USA Philanthropy. This person will primarily be responsible for project coordination, data entry, integrity and analytics for the IRC’s growing and sophisticated Planned Giving marketing program. These efforts include new mail, email, and social media campaigns as well as stewardship activities for all Partners for Freedom Legacy Society members not currently in officer portfolios. The Manager will work with our external marketing firm, collaborate across departments, and indirectly lead other staff to accomplish work. The ideal candidate will be a hardworking and conscientious individual who is passionate about the IRC and motivated to make an impact through their contributions to the larger team.

Major Responsibilities

  1. Data management for 12-15 annual targeted marketing campaigns for planned giving including list pull, integration of campaign information into donor records, updating records in Salesforce and providing information and reports to gift officers to assist in follow-up. Work across departments to request and receive data and ensure accurate upload into Salesforce.
  2. Liaise with IRC donors through the planned giving hotline and email. Be the first point of contact for donors inquiring about making a planned gift. Assign and respond to the donor as appropriate. Work with Supporter Services to address additional inquiries.
  3. Provide stewardship to all PFFs in standardized stewardship through notecards, emails, annual stewardship letter and phone calls.
  4. Work with Planned Giving Manager to support the estate administration process by ensuring files are accurate and information in Salesforce.
  5. Process expenses and monitor planned giving budget.
  6. Create and submit state annual filings for charitable gift annuities.
  7. Manage the operational function of the planned giving team by providing weekly reports on goals, benchmarking annually, creating donor lists, and maintaining data integrity in Salesforce.
  8. Provide administrative support for the Planned Giving team including mail processing, managing calendars, gathering information and preparing meeting agendas, handling logistics for internal and external meetings, managing project timelines, drafting and collecting team updates, sending team wide reminders, helping on-board new team members, and tracking team results.
  9. Supervise day to day work of temp staff, intern and fulfillment projects with other USAP Associates when applicable.
  10. Develop and maintain excellent working relationships with colleagues across the IRC; and
  11. Support other projects and take on additional responsibilities as needed.

Job Requirements:

Work Experience: Bachelor’s degree or 3 years of previous work experience, preferably gained in a development or fundraising team, non-profit, marketing, or sales team.

Demonstrated Skills and Competencies:

  • Highly computer literate, including Microsoft Office. Familiarity with CRM databases, such as Salesforce or Raiser’s Edge, is desirable;
  • Demonstrated organizational and time management skills;
  • Excellent interpersonal and communication skills;
  • Strong listening skills and ability to accurately follow guidance;
  • Outstanding attention to detail and commitment to timeframes;
  • Ability to work both in a team structure and take independent initiative;
  • Commitment to respect and maintain confidentiality of donor information; and
  • Work successfully in a complex, fast-paced organization.

Working Environment: This role requires working remotely part-time (i.e., telecommuting). Applicants must have a home or alternate workspace they can effectively complete their work from during regularly scheduled hours.
