He/she is responsible for the following tasks:

1. Project Planning

  • Develop a global project implementation strategy, systems, methods, tools and materials
  • Organize project kick-off and closing meetings
  • Plan the different stages of project implementation and provide direction by prioritizing and organizing activities and resources to achieve project objectives

2. Monitoring of project implementation 

  • Ensure the technical coordination of all activities relating to the various activities related to the improvement of the living conditions of households,
  • Supervise and manage the implementation of the project by ensuring that quality and technical standards are taken into account and respected during the implementation of the project
  • Organize regular project coordination meetings with project teams
  • Ensure that budget consumption and achievement of targeted objectives are reviewed at least once a month as planned in the work plan
  • Ensure that project implementation is completed on time, in terms of objectives and budget, using effective M&E systems to achieve desired impacts
  • Ensure that projects are implemented in accordance with relevant Islamic Relief guides and technical standards
  • Anticipate and mitigate risks and resolve any unforeseen challenges during project implementation
  • Ensure the identification of priority training needs of target groups, Ensure the development of training programs in collaboration with program staff.
  • Regularly update work plan, results monitoring, PIDs and other relevant documents for effective project management.

3. Administration and operational management of project implementation

Finance

  • Review BVA(s) and provide accurate forecasts of needs;
  • Forecast monthly project cash needs and submit them to financial services.

Logistics

  • Contribute to the development of purchasing plans;
  •  Send accurate and accurate purchase orders on time;
  • Contribute to quality controls and purchasing committees to finalize the selection of suppliers according to the applicable scenario;
  • Confirm the quality of the chosen material if and when necessary
  • Ensure proper management and use of inventory and equipment for the project.

Administration/HR

  • Participate in the recruitment of the technical team (ToRs, development and revision of tests, interviews etc …);
  • Ensure that the project team understands and is able to fulfill their roles and responsibilities;
  • Track project team work plans and day-to-day activities;
  • Lead the project team by collaborating with the zone coordinators;
  • Ensure a positive work environment and good team dynamics;
  • Conduct regular team evaluations and monitor career management;
  • Managing interpersonal conflict;
  • Strengthen the team’s skills in relevant areas.

4. Transparency

  • Ensure that project reports and various documents (list of beneficiaries, Contrant, MOU, attendance sheets etc.) are well done, compiled and archived in accordance with Islamic Relief procedures;
  • Ensure teams are informed and adhere to Islamic Relief’s code of conduct and procedures.

5. Security

  • Ensure that each member of the project team is aware of security, political, SOPs issues and that they follow them scrupulously;
  • In collaboration with the relevant Security Officer, monitor the local security situation and inform the Country Director or the Zone/Country Coordinator or the Area Security Officer, of developments through regular written reports;
  • Contribute to the updating of safety guides in the project intervention area;
  • Develop and ensure the operation of a safety tree.

6. External Relations

  • Support, facilitate or carry out liaison and communication activities to actively consult and involve beneficiaries, informing key stakeholders, actors and stakeholders during all stages of project design and implementation;
  • Cultivate good relations with key humanitarian actors – local and international, including governmental authorities and non-state actors – by regularly participating in technical and bilateral meetings;
  • Ensure that all contact with beneficiaries is conducted in a respectful and sensitive manner;
  • If necessary, liaise with donors and work closely with partners on project updates, site visits and other communications;
  • Identify opportunities for collaboration and coordinate efforts with other organizations to ensure our activities capitalize on theirs without duplicating them.

7. Quality control

  • Evaluate activities undertaken and ensure efficient use of resources;
  • Conduct regular field visits to provide supervision and technical advice as well as regular monitoring of the progress of project activities;
  • Ensure lessons learned are documented, shared, and taken into account in project planning and decision-making;
  • Ensure quality controls, value-added and impact analyses, identification and capitalization of best practices and lessons learned, and provide relevant feedback for the development of new projects;
  • Identify and analyze gaps, Islamic Relief’s added value, synergies, and opportunities in the areas where the project(s) are implemented and share relevant information with the N+1.

8. Reporting

  • Provide regular and up-to-date information on progress and challenges faced by supervisors and members of other teams;
  • Write internal narrative reports and contribute to the development of financial reports through regular budget monitoring;
  • Contribute to the drafting of external reports on the progress of projects, ensuring the quality and accuracy of the technical information provided.

Qualifications and skills required

  • Hold a master’s degree (BAC + 4 years) in Agriculture, Livestock, Economy / Microfinance equivalent field in the field of rural development.

Fluency in English is required for this position.

  • Have at least 3 years of experience in a similar project coordinator position.
  • Experience in an emergency and/or development context;
  • Experience in budget management;
  • Ability to coordinate and manage a team;
  • Ability to work independently and creatively in the field and in capital proceedings
  • Excellent oral and written expression;
  • Strong ability to work in an intercultural context;
  • Ability to work under pressure.
