Description

The International Water Management Institute (IWMI), a CGIAR Research Center is seeking for a skilled and diligent Office Assistant cum Driver to join its office in Lahore, Pakistan.

The Office Assistant cum Driver will be responsible for delivering effective and efficient services by providing general office assistance, performing a variety of administrative and clerical duties, and offering transportation services for staff, visitors, documents, mail, and packages in IWMI-owned vehicles to field sites and other destinations as required. The successful candidate will also assume the role of Office Administrator and/or Driver as needed.

Duties & responsibilities:

  • Provide all driving support needed to ensure the Project team runs smoothly and efficiently, including, but not limited to, supervising any facilities management staff and ensuring prompt payment of utility bills, rental invoices, etc.
  • Arrange and coordinate project meetings with relevant stakeholders at convenient times.
  • Provide logistic support for organizing meetings within Lahore and other cities.
  • Manage office and scientific equipment properly, ensuring they are in proper order when required by researchers for fieldwork.
  • Offer necessary assistance to research staff, visitors, and consultants.
  • Assist the office administrator in procuring project-related supplies, such as visiting the market to arrange samples and obtain quotations to ensure cost-effectiveness and efficiency.
  • Drive IWMI staff within the city, to the field, and other locations for official purposes.
  • Transport IWMI visitors as instructed.
  • Stay updated on Pakistani driving regulations, ensure the vehicles are roadworthy, insured, and meet the official requirements and documentation of Pakistan’s transport authorities.
  • Monitor daily/weekly vehicle condition and repair needs, maintain travel logbooks, conduct vehicle checks, and promptly report any technical problems to the supervisor.
  • Enter and verify vehicle logs, assets, and time sheets in spreadsheets/databases as directed.

Requirements

Educational Qualification & Experience:

  • FA/FSc, Advanced Level, International Baccalaureate, or equivalent, with a minimum of a second division.
  • A minimum of 6 years of work experience, including 3 years of relevant office administration experience and a minimum of 3 years of driving experience.
  • Having local driving experience in Punjab province will be highly advantageous.

Knowledge, Skills & Abilities:

  • Familiarity with the Windows operating system environment.
  • Proficient in Outlook, Word, and Excel.
  • Excellent approach to service delivery.
  • Strong personal organizational skills with the ability to prioritize and multitask.
  • Excellent interpersonal skills and ability to work well in a team.
  • Good spoken and written English and Urdu comprehension.
  • Good spoken and written comprehension of Pashto and Balochi.
  • Presentable, courteous, and professional behaviour.
  • Excellent driving skills with various vehicles, including motorbikes, passenger cars, pickup trucks, and SUVs. Good knowledge of modern vehicle technology, such as satellite navigation, CVT, ABS/BA/EBD, auto-lock wheel hubs.
  • Thorough knowledge of the Pakistan Highway Code.
  • Possession of a valid driving license for motorcycles, cars, jeeps/SUVs, or pickup trucks in at least one of the four provinces of Pakistan or the Federal Capital Territory.
  • Basic mechanical/handyman skills, such as using an electric drill and electric saws.
