KEY RESPONSIBILITIES

  • Prepare procurement requests, request quotations, coordinate with HQ/Global Procurement to finalize purchase orders, and review invoices prior to submission to Finance team for payment.

  • Ensure that all requests are made and processed in compliance with FHI 360’s policy and specific funding requirements.
  • Assists/Coordinates with Requestor in developing bid specifications.
  • Reviews requisition orders to verify accuracy, terminology, and specifications.
  • Surveys for reliable sources, locate and contact vendors, coordinates with internal and external parties for proposals/quotations.
  • Coordinate receipt, storage and distribution of expendable supplies and non-expendable property.
  • Contacts suppliers to schedule or expedite deliveries, resolve shortages, missed or late deliveries to ensure contract terms and company needs are met.
  • Reviews and approves bills for payment and calculates costs of orders and forwards invoices to appropriate accounts.

  • Maintains policies and procedures of organizational and government regulations affecting purchases and shares information with management, staff members and vendors.

  • Checks shipments to ensure orders are filled correctly and goods meet specifications.
  • Compares prices, specifications, and delivery dates to determine the best bid among suppliers.
  • Updates contract list and coordinate with regular contractors in renewing the contracts.
  • Develops and maintains information of all active vendors in the vendor database.
  • Monitor and prepares regular reports on purchase requisitions and Purchase Orders’ status
  • Perform other appropriate duties and responsibilities as assigned by the EpiC HIV Finance Manager

REQUIRED EDUCATION

  • Bachelor’s Degree in Business Administration or Industrial Engineering.

REQUIRED SKILLS :

  • Good analytical, numerical, and critical thinking skills;

  • Proven proactive skills in identifying cost savings, cost avoidance, and efficiency opportunities;
  • Familiarity with or knowledge of USAID-funded projects and grants management policies and procedures;
  • Ability to manage tight deadlines and deliver high volumes of work with minimal supervision;
  • Ability to work collaboratively, productively, and sensitively within a multidiscipline, multicultural and multigender environment;
  • High degree of proficiency in written and spoken English communication;
  • Well-developed computer skills, particularly MS Office;
  • Manage multiple activities and pay close attention to details;
  • Ability to manage complex and confidential information with discretion.

REQUIRED JOB EXPERIENCE :

  • Minimum of 5 years’ experience in USAID regulations, contracting, procurement and administrative support is required.
