Project Overview and Role:

The Australian Government, through the Department of Foreign Affairs and Trade (DFAT), has committed to deepen education links between Australia and the Pacific, providing scholarships to students from up to nine Pacific island countries to study their senior high school years in Australia.

The Pacific Secondary Schools Scholarships Program (PSSSP) provides selected scholarship recipients with the opportunity for a high-quality Australian education and practical youth leadership development to prepare them for their own future in higher education, training or employment, and to contribute to the economic and social development of their own countries. 

Primary Duties and Responsibilities:

To support the Country Manager with administration and logistics for the PSSSP program.

  • Assist the PSSSP team with all aspects of administration and logistics;
  • Coordinate PSSSP’s travel, accommodation bookings, transport and catering;
  • Provide logistics and operational support to Country Manager;
  • Maintain documents with the Country Manager to compile and submit expense claims;
  • Assist the Country Manager with organising high-profile events or high level visits, including maintaining venue and contact lists;
  • Undertake procurement processes and ensure that those procurements are compliant with Commonwealth Procurement Rules and Palladium policies, including obtaining competitive quotations, preparing procurement records and documents and maintaining asset registers;
    Ensure accurate and efficient management of correspondence, invitations, files, records and databases of contacts;

Required Qualifications:

  • Experience in administration and logistics, especially in the support function of large scale organisations;
  • Proven track record in office management systems and procedures;
  • Able to use technology effectively to support the operations of a large program or organisation;
  • High level proficiency in Word, Excel, PowerPoint and web browsers; Good interpersonal skills, including in a cross cultural context;
  • Ability to work to deadlines, and to balance competing priorities;
  • Experience working in, or with, Pacific countries would be an advantage;
