The Middle East Research and Innovation Hub (Airbel) work on the research and development of innovative projects and initiatives to provide humanitarian assistance at scale. Often, the innovation team’s work is unique and requires operational facilitation and mediation between the hub staff and IRC operational departments such as Finance, HR and Supply Chain. The Middle East Innovation Hub works closely with IRC operational units (Finance, HR and Supply Chain) to develop work processes and relevant tools to facilitate the hub operational needs. Examples of the unique activities developed by the Middle East Hub the Community Design Group (CDG), Design Talent Pool and Digital User Panel. The Hub is currently transitioning from its regional form to an integrated approach toward country programs. This transition would require administrative work to support the existing hub activities as well as the transitions work.

The Regional Hub is seeking a motivated Administrative Assistant Intern to support with operational and admin work. The Admin Assistant will support Airbel Regional Hub across a range of administrative responsibilities that may change over time as the hub progress towards its transition.

 

Major Responsibilities:

  • Support the Hub team to complete, submit and track operational related requests such as Payment Requests, Purchase Request, Recruitment Requests, etc.
  • Support the Operations Manager to track external consultants’ contract expiry date and assign budget codes to consultants’ invoices to process payments.
  • Support the Hub team to manage work related to community design group (CDG) by checking community designers availability, convey key messaged to them and support in their capacity building planning.
  • Support the Hub team with general administrative tasks such as collecting managers’ signatures, booking meeting rooms and sending calendar invitations.
  • Support in organizing the Hub Box file to ensure all folder organized in an easy, accessible manner and kept safe after the hub transition.
  • Support with any other admin related tasks required to facilitate the hub team work and its transition.

Position Reports to:  Regional Innovation Operations Manager

Other Internal and/or external contacts:

Internal: work in close collaboration with regional finance, HR and supply chain

External:  N/A

 

Profil

Education: BA in Business administration, public administration, management, finance, accounting or any other related field of study. 

 

Demonstrated Skills and Competencies:

  •  Strong communication and interpersonal skills: demonstrated ability to work effectively across and within a large, complex non-profit organization, and ability to communicate with a variety of people in a multi-cultural environment;
  • Excellent organizational skills: the ability to work independently in a fast-paced, detail-oriented environment and efficiently organize the workflow of a fast-paced team;
  • Proven attention to details: the ability to track and process multiple details simultaneously and accurately;
  • Solid writing and editing skills: the ability to draft and edit professional documents and correspondence in both English and Arabic;
  • Strong visual skills: the ability to assist with preparation of charts and graphs in Excel and PowerPoint;
  • Flexible work attitude: the ability to work productively in a team environment and independently;
  • Trustworthy with an ability in maintaining confidential information;
  • Strong computer skills: ability to work effectively and accurately with MS Outlook, Word, Excel, PowerPoint, and to adapt to new applications.

 

Language Skills:  fluent in Arabic and English

Internship Duration:  4.5 months (full time/ 5 days a week)

 

Working Environment:  

The position is based in Amman with standard office work environment.

In light of COVID-19 and the dynamic situation across the world, this post might be a home-based, remoted work assignment (instead of office-based) through the pandemic.
