Role Purpose

Procurement and Logistics Assistant will be responsible and accountable for the delivery of all procurement and logistics

related activities in accordance with JRS’s procurement and logistics policies and procedures. In liaison with the country logistics Officer, he/she will assist with operational assessments, including supply chain management, purchasing, facilities, and fleet management.

Scope of role

The Post Holder will support in developing and standardizing operations processes and systems in accordance with country office guidance and directives. He/she will collaborate with colleagues across all projects and programs to identify procurement and logistical needs, process bottlenecks, and to develop unique solutions to enable more timely, efficient, and accountable delivery goods and materials.

The office holder will also ensure that required reports are accurate and submitted as per the agreed reporting schedule.

Reporting to the Country Logistics Officer.

Key Duties & Responsibilities

The below list of responsibilities is not exhaustive; other tasks may be required to adapt to operational needs. To achieve the overall and specific position’s objectives the Procurement and logistical Assistant will perform the following tasks and undertake the following responsibilities:

  • Create and maintain good relationships with vendors/suppliers
  • Maintain records of purchases, pricing, and other important data
  • Review and analyze all vendors/suppliers, supply, and price options
  • Develop supply contracts, building contracts, and service contracts on need basis
  • Ensure that the products and supplies are in the right quantity and quality.
  • Perform Periodic Market analysis reviews to ensure the organizations enjoy the best value for money.
  • Maintain and update a list of suppliers.
  • Work with team members and Logistics and procurement Officer to complete duties as needed.
  • Develop and monitor purchasing policies.
  • Monitor inventory control procedures.
  • Produce and share procurement reports as scheduled.

Any other tasks given by line manager.

Person Specification – Essential Requirements

(E) Qualification

  • Bachelor’s Degree or equivalent in Supply Chain management.

(E) Experience

  • Minimum 2 years’ experience as a procurement officer or related position;
  • Ability to analyze problems and strategize for better solutions;
  • Ability to negotiate, establish, and administer contracts;
  • Excellent verbal and written communication skills;
  • Accurate and precise attention to detail;
  • Ability to work well with management and staff at all levels;
  • Goal-oriented, organized team player.

(E) Skills

  • Excellent writing ability and verbal skills;
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
