JOB SUMMARY:

Administrative Associate is responsible for providing general assistance on administrative functions of the country office under the supervision of Senior Administrative Officer

DUTIES AND KEY RESPONSIBILITIES:

  • Responds to the team requests for administrative support during workshops, training such as but not limited to:
    • asking participants to sign attendance sheet,

    • preparing rooming list,
    • ensuring snacks and meals are served on time,
    • troubleshoot and provide solutions for events-related issues such as last-minute printing, last-minute changes,
    • preparing workshop kits/materials.
  • Assist in maintain the country office asset tracker/inventory.
  • Assist in vehicle management and assigning of vehicles to trip requests.
  • Process payments of purchased goods and services by collecting invoices, billing statements from vendors and upload them on DPA together with other supporting documents such as goods receipt, trip ticket, flight ticket, activity reports, attendance sheet.
  • Coordinate with Building Admin for any issues related to the office structure and utilities.
  • Prepare and assist travelers/guests with their travel arrangements such as booking of hotel accommodation and vehicles.

  • Performs other duties as assigned.

  • Screen all incoming visitors and vendors, observing security.
  • Receive, log and distribute all incoming and outgoing courier packages, and incoming in a timely manner.
  • Update and maintain conference room schedules.
  • Assists supervisors in ensuring project administration and operation runs smoothly.
  • Assists supervisor in logistic arrangements for conferences, workshops, and meetings.

KNOWLEDGE & SKILLS:

  • With minimal supervision, manage high volume workflow.
  • Service minded well organized, strong negotiation and interpersonal skills.
  • Ability to handle multiplied tasks and demanding schedules to deliver high quality results on time.
  • Knowledge of general office practices and organizational skills, administrative and planning skills.

  • Good proficiency in computer software applications in particular Microsoft World, and Excel.
  • Good command of spoken and written English and proficiency in local language.
  • Report to supervisor on variances and status on regular basis.
  • Resourceful in gathering and providing information.

QUALIFICATIONS:

  • College graduate or High School but with 5-year experience
  • Demonstrated experience with office administrative procedures, standards and equipment
  • Demonstrated experience with office software applications and spreadsheets.
  • Read, write and speak English; fluent in host country language required.
