Key Responsibilities:

PURPOSE OF THE ROLE

The Project Manager Assistant will support DEC 2 Project Manager with the systematic collection and analysis of partners and fields officer’s reports, managing Purchase Requisition Forms (PRF) and Stock Request Forms (SRF).  Will work closely with the Project manager in all project implementation processes to ensure high implementation quality. PM Assistant will report directly to Project Manager. He/she will closely work with the Educational Fields Officers.

The PM assistant will play an important role in the implementation of all aspects of the project, such as educational centres/happy bubbles in 8 regions of Romania, social stores, etc.

MAJOR RESPONSIBILITIES

Daily Activities :

  • Control and coordinate the process of maintaining records and files on various organizational and technical issues;

  • Collect and verify monthly reports from partners;
  • Collect and verify reports from field officers;
  • Administer the entire cycle of signing the PRF/SRF and further collection of documents confirming payment for the relevant PRF/SRF;
  • Creation and updating of a paper and online depository for all documents (not a large volume of documents);

  • Collection of any necessary information from field officers;

  • Help to field officers with information related to their requests (previously agreed with the project manager)
  • Together with the project manager, prepare monthly/interim/annual reports;
  • Attend regular staff meetings;
  • Collaborate with all departments of the organization for the qualitative implementation of the DEC 2 project;
  • Contribute to the partners related processes as needed;
  • Ensure all DEC 2 project-related data, reports, and records are clearly organised and archived in a central location for future reference;
  • Support the development, amendment, and implementation of the needed tools for project (different templates) etc.

Business trips

  • Organizational/monitoring visits to the fields

  • Organizational/monitoring to partners

Project Learning

  • Ensure a learning culture is established within the office/team and among implementing partners to document learnings and best practices for ongoing and future programming, as needed.
  • Assist with trainings organization for DEC 2 staff and partners, as needed.
  • Ensure appropriate dissemination of the project results as needed.

Other

Carry out additional duties and project tasks assigned by the DEC 2 Project manager.

KNOWLEDGE AND QUALIFICATIONS FOR THE ROLE

REQUIRED PROFESSIONAL EXPERIENCE AND BACKGROUND

  • Recent University Graduates /A Minimum of 1-2 years in in Project management assistance, especially in emergency and grant-funded projects
  • Volunteering experience
  • Basic understanding of project management
  • Problem-solving attitude
  • Excellent organization, planning, motivation, and interpersonal skills
  • Strong work ethic and detail-oriented with excellent multitasking skills
  • Ability to prioritize work, meet deadlines and work well under pressure
  • Ability to work with sensitive or confidential information

  • Communicates with integrity to different stakeholders (strong interpersonal skills)

  • Interact effectively with others, communicate clearly, and understand of the needs and requirements of all stakeholders
  • Ability to work in an intercultural team etc.

Required Education, training, license, registration, and certification

Bachelor’s Degree in Social Sciences/Project Management/Program Management or relevant field.

Preferred Knowledge and Qualifications

Master’s degree in Social Sciences, International Development, International Relations or a related field. (Preferred).

Travel and/or Work Environment Requirement

The position requires the ability and willingness to travel domestically.
