These are your responsibilities

  • Provide administrative support to the IEHI Director;
  • Manage the Director’s diary, and schedule meetings and appointments;
  • Plan meetings for the Director, IEHI senior management and the wider IEHI team, including managing logistics and technical set-up and preparing and sharing participant lists, agendas and relevant documents and materials;
  • Make travel arrangements for the Director, IEH senior management, and other team members as required;
  • Support the coordination of the Technical Leadership Team (Core Advisory Team) in Eye Health;
  • Support the Director in his other capacity as Vice-President and Chair of IAPB and liaise with relevant staff at IAPB;
  • Assist in the preparation of regularly scheduled reports such as the Team’s quarterly work plan and narrative reports;
  • Maintain administrative and operations databases and/or spreadsheets;
  • Set up and organize physical and electronic archiving and filing systems;
  • Oversee ordering and maintenance of office supplies and forms;
  • Support procurement processes for eye health programmes where required;
  • Oversee office operations and ensures office activities comply with policies and procedures;
  • Work closely with IEHI Finance and Admin to resolve discrepancies in financial reporting;
  • Ensure operations adhere to organizational policies and regulations Submit and reconcile expense reports for the Director and senior management;
  • Build and maintain excellent working relations with CBM staff and partners.

These are your qualifications

  • Bachelor’s degree level or above;
  • Min. of 5 years in a comparable position preferably in a multinational corporation or NPO;
  • Proven experience of handling requests from multi-disciplinary areas;
  • Excellent time management skills and the ability to prioritize work;
  • Excellent written and verbal communication skills;
  • Excellent attention to detail;
  • Experienced in remote working environments and ability to develop and maintain distance-working relationships;
  • Ability and willingness to undertake overseas travel;
  • Experience in working in a multicultural environment;
  • Experience with procurement;
  • Demonstrable interpersonal skills that build consensus and partnership;
  • Proficient in Microsoft 365, internet research skills for researching travel, conference planning, meeting planning, and other related needs;
  • Understanding of project cycle management;
  • Understanding of global health (eye health, NTDs) and disability discourse and priorities;
  • Identification with Christian values and the mandate of the CBM.
