KEY RESPONSIBILITIES

Grant making process, administration and contracting

  • Ensures that an effective grant-making process is established and followed by team members.
  • Drafts and reviews grant agreements with recipients (based on an organisational template), ensuring they are suitable for the context, fit-for-purpose and compliant.
  • Leads and coordinates the internal approval process for grant making, working with project managers for specific grants to ensure an effective process and timeline is established.
  • Reviews due diligence documentation in collaboration with the Head of Finance and Safeguarding Manager and other Regional Operational Staff.
  • Implements an effective grants portfolio tracking system and maintains clear and accurate records.
  • Oversees the investigation of any issues or complaints related to the grant making process.

Policy implementation and staff training

  • Ensures that the Grant Making Manual is updated and reviewed in line with changes in risk and compliance.
  • Proactively identifies compliance risks throughout the grant portfolio and advise programs, operations, finance and senior management on necessary actions.
  • Develops and delivers a grant management and implementation training programme for staff and trustees, tailored to particular roles and responsibilities.
  • Supports teams to ensure a robust grant management culture remains embedded throughout the organisation.
  • Reviews, updates and implements effective grant management and due diligence systems, processes in collaboration with the Head of Finance and the Safeguarding Manager
  • Ensures Girls Not Brides understands and complies with relevant regulatory and legal obligations and international donor best practice in collaboration with the Development and Outreach Team.

Sub-grant contracts (restricted grants)

Working alongside our Finance, Safeguarding and Development and Outreach Teams:

  • Ensures an efficient process of sub grant to members and partners.
  • Designs and embeds robust processes, reviews, and records to ensure Girls Not Brides remains fully compliant with donor obligations and sub-granting for complex restricted grants.
  • Advises and trains project managers to ensure their work remains compliant with sub grant agreements and obligations post award.
  • Reviews existing and new sub grant agreements before they are finalised to ensure they align with Girls Not Brides mission, priorities, and capacities.

Procurement

  • Works with the Head of Finance and the Senior Finance and Grants Officer to ensure an effective procurement process is followed by team members.
  • Reviews, provides advice and approves tender documents prepared by colleagues.

Grant management and compliance

  • Working closely with the Development and Outreach Team, develops robust systems as well as monitoring procedures to ensure proper stewardship of funds on post-awards, and close-out.
  • Provides regular reports on the work-in-progress to the Director of Operations and Finance.
  • Functions as primary point of contact for all aspects of grants management post grant awards and grant-related issues in close collaboration with the Finance Team and Development and Outreach Team.
  • Handles the day-to-day aspects of grant management (non-programmatic) and administration of grants.
  • Coordinates with relevant team members/project manager/budget holder to ensure donor compliance with donor contracts and grant implementation plans and close out, including through a procurement plan as needed as required.
  • Initiates and conducts stake holder meeting post-award ensuring compliance with donor contracts and Girls Not Brides grant implementation plan including supporting the project officers with a project plan as needed as required.
  • Coordinates with the Finance and Development Team that donor funds requests are made completed in a timely manner.
  • Regularly reviews and updates Grant Making Manual and other Standard Operating Procedures and relevant documents governing awards as needed in collaboration with the Operations and Finance Team.
  • Maintains comprehensive internal controls on grant and financial management system, sub-contracts, and audit requirements.
  • Keeps accurate and complete financial and donor records for each project.
  • Keeps the relevant staff informed about upcoming deadlines and deliverables, thereby ensuring smooth completion of work responsibility throughout the life of award processes.
  • Maintains a register of grant risks.
  • Adheres to internal and donor policy requirements on awards and financial management.

PERSON SPECIFICATION

Essential experience

  • Professional experience of working in a grants or project management role as part of a small team, preferably within a similar sector.
  • Degree in Finance, Business Administration, or proven experience in a related field.
  • Experience and understanding of the rules and regulations of donor and government grants such as SIDA, US and EU grants, trusts and foundation awards.
  • Experience and knowledge of all aspect of the grants management cycle.
  • Experience of working with non-financial colleagues to improve their understanding of grant administration and all aspect of the grant management cycle.
  • Experience of creating systems for monitoring performance against budgets.
  • Demonstrated experience maintaining accurate financial records including data entry, extraction, analysis, monitoring, and compliance.
  • Experience in coordinating multi-currency donor grants.
  • Experience or ability to quickly acquire relevant organisational and systems knowledge, ensuring systems and files are updated and maintained accurately.

Essential skills and knowledge

  • Demonstrated ability to liaise with relevant internal and external stakeholders and build constructive and effective relationships.
  • Ability to work autonomously and exercise significant initiative and judgement, while working within a small secretariat.
  • Excellent people and relationship management skills.

  • Excellent understanding of Excel and experience of integrating it with accounting and other external finance systems.
  • Proficiency in the latest versions of MS Word, PowerPoint, and use of databases.

Job location

London, UK (hybrid with up to three days on site). Includes international travel.

Director of Operations and Finance

Salary range

£38,250 rising on an annual incremental basis. Girls Not Brides also offers a generous 10% pension.

Contract

This is a permanent full-time role. The successful candidate must have the right to work in the United Kingdom*.*
