Purpose

Under the immediate supervision of the Head, Air Pollution and Energy Efficiency, and the overall supervision of the Deputy Director, Subdivision for Protective Measures, Marine Environment Division (MED), the incumbent will be responsible for supporting a wide variety of duties (administrative, financial and meetings) and provide assistance to the Air Pollution, Energy Efficiency and Greenhouse Gas (GHG) team, and to other teams within the Division, as may be required.

Duties and Responsibilities

Provide administrative support to the Head, Technical Officers and Senior/Junior Professional Officers of the Air Pollution, Energy Efficiency, Greenhouse Gas (GHG) team;Assist in the preparation and/or editing of IMO meeting documents and internal correspondence/memos;Provide administrative services to committees, sub-committees, intersessional working groups, working and drafting groups and other technical bodies, including assisting delegates, preparing, and updating meeting documents, as well as assisting in the preparation of draft reports (SharePoint);Assist in the planning, organization, and implementation of air pollution/GHG technical cooperation activities and missions, including recruitment and support of consultants; budget preparation, tracking and monitoring; corresponding with implementation Focal Points; ordering and shipping publications; and arranging travel of participants and of staff; and liaise with relevant sections of the Organization in this respect;Execute activities through the Organization’s financial management system (ERP, i.e. SAP);Execute activities through SAP in raising purchase requisitions/framework requisitions, as well as Goods Receipt items upon delivery of purchased goods and services for payments; overseeing in- and outflows of the IMO GHG Technical Cooperation (TC) Trust Fund and preparing Project Implementation Documents (PID) as necessary;Maintain and update the relevant sections on the IMO website sections;Perform any other related duties which may be assigned by the Head, Air Pollution and Energy Efficiency Team and/or the Deputy Director, Subdivision for Protective Measures, as may be necessary.

Experience

A minimum of five years’ experience in an administrative position is essential.Experience of working with the United Nations’ Common System or similar experience in an International Organization would be an asset.Experience with supporting High Level/IMO meetings, including the processing of documents, would also be an asset.

Education

Good level of secondary education, to university entrance level. Formal training in administration would be an asset.

Language Skills

Proficiency in English (oral and written), including the ability to draft clearly and concisely, is essential. Knowledge of any other official languages of the UN system, particularly French and/or Spanish, would be an asset.
