Responsibilities:

  • In collaboration with the Supply Chain Team defining the Warehouse and Stock Management activities;
  • Planning the annual budget in order to identify and optimize the response to the needs of the mission and project;
  • Monitoring the implementation of the Warehouse and Stock Management activities.
  • Following up on the medical and logistics stocks, ensuring compliance with IDA standards, protocols, and procedures;
  • Reporting to the line manager on the development of ongoing projects. This can include the following;
  • Ensuring all equipment and premises are adapted to the proper storage of goods in compliance with the Donor’s requirements and Good Distribution Practices;
  • Ensuring that physical and administrative management of the products inside the warehouse is properly managed in conjunction with the donors (SOPs, flow management, IS warehousing tool, inventories…);
  • Ensuring the safety and security for goods and people inside and outside the premises under his/her responsibility;
  • Analyzing monthly/quarterly warehouse data, identifying problems, and proposing solutions to line managers about stocks;
  • In collaboration with the HR Coordinator, participating in the planning and implementation of HR-associated processes (recruitment, training, briefing/debriefing, evaluation, detection of potential, development, and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required to correctly perform all supply activities pertaining to his area;
  • Ensuring technical support for his area of activity and providing coaching to staff under his/her responsibility;
  • Managing his team and elaborating their activities planning (Warehouse supervisor, storekeepers, and log-helpers.);
  • Participating in monthly reports according to guidelines;
  • Performing delegated tasks according to his / her specialty and as specified in his/her job description;
  • Ensure that the warehouse operates at peak efficiency by supervising, organizing, and training warehouse employees and establishing, monitoring, and managing operational goals;
  • Develop warehouse operations systems by determining product handling and storage requirements, equipment utilization, inventory, gate processes, and shipping methods;
  • Train and manage the warehouse team to solve day-to-day operational issues and reach short- and long-term performance goals;
  • Oversee daily operations while controlling and managing inventory and logistics;
  • Review and prepare workflows, staffing requirements, space allocations, equipment layouts, and action plans that meet company standards for productivity, quality, and project service;
  • Maintain a safe and healthy work environment by establishing and enforcing standards and procedures and by complying with legal regulations;
  • Supervise daily warehouse activities, including quality assurance, inventory control, space management, logistics, floor productivity, shipping, and customer service;
  • Schedule and oversee the warehouse team, and manage the flow and quality of work to maximize efficiency and minimize overtime;
  • Inspect equipment, tools, and machinery regularly, and oversee general maintenance when necessary;
  • Meet regularly with warehouse teams to analyze productivity and develop actionable plans for loss prevention.

Qualifications:

Context/Specific skills, knowledge, and experience:

  • Graduation certificate (medicines school, pharmacy, Warehouse Management, Business, Economics, Engineering, and another related specialist, etc.).
  • At least 5 years experience in warehouse work.
  • At least 3 years of experience with companies, NGOs, or local authorities work.
  • Capacity to manage high-stress situations
  • Ability to multi-task and manage various project elements simultaneously
  • Experience working within a humanitarian context;
  • Experience in activities relating to specific sectors of humanitarian work.
  • Previous experience working in complex and volatile contexts.
  • Documented results related to the position’s responsibilities.
  • Fluency in Turkish and Arabic and English to be advanced.
  • Good IT skills, including Excel and Word.
  • Knowledge of the context in the North-West of Syria.
